NAME OF REGISTER

Human Rights Centre register for confirmation of attendance


PURPOSE OF PROCESSING PERSONAL DATA

The register is used for

- the collection of information on persons who have confirmed their attendance at events organised by the Human Rights Centre for the purpose of access control in venues such as Parliament.

 - to help in placing orders for the food and drinks possibly served during the event.

 - person who have sent notification of their attendance can also be sent materials related to event either before or after the event,


REGISTER DATA CONTENT

The register contains

- the first and last names, e-mail addresses ad possible background organisation or agency the persons who have confirmed their attendance.

- if the event has catering, the register may also include information on food allergies.

A person can remove their data from the register at any time via the link provided in the attendance confirmation.


STANDARD SOURCES OF INFORMATION

The individual gives their information when sending notification of their attendance to the event.

The Human Rights Centre can also add persons to the register at their own request or at a partner’s request.

The Human Rights Centre may add information concerning performers or partners.


STANDARD DISCLOSURE OF DATA AND TRANSFER OF DATA TO AREAS OUTISDE THE EU OR THE EUROPEAN ECONOMIC AREA

As a rule, data is not stored manually.

The information is given to Parliament’s access control or access control for any other venue where the event is held.

If the event has other organisers in addition to the Human Rights Centre, these parties will be sent a list of attendees before the event.

Data will not be transferred to areas outside the EU or European Economic Area, unless the event’s other organiser is based outside these areas.


RIGHTS OF THE DATA SUBJECT

Right of inspection and correction

The data subject has the right to inspect the data that concerns him or her and has been saved in the register. For this reason, there is a link titled “omat tiedot” (own information) in every subscription confirmation via which the recipient can view all the information that is stored into the system.


Right to prohibit

The data subject has the right to prohibit the data controller from processing data that applies to the data subject and to be removed from the list. For this reason, there is a link at the end of every attendance confirmation via which people can withdraw their attendance.


PRINCIPLES OF REGISTER PROTECTION

The processing of information is carried out electronically in the Lyyti attendance system. The principles for the protection of this system can be viewed https://www.lyyti.com/fi/tietosuoja-ja-gdpr-yhteensopivuus.

Only persons whose work duties are directly related to event organisation and who have the right to process the Human Rights Centre’s customer data have access to the address system.

Information is disclosed in the manner described above for access control purposes as well as to the event’s other organisers prior to the event. Data can be processed manually in access control.

The data will be removed from the system within three months of the event’s end.
